BWTS spare parts: why they're locked to the maker and what to stock
A ballast water treatment system is the one piece of equipment on board where you genuinely cannot shop around for spares, and owners keep learning that the expensive way. It is not the maker protecting a margin - it is how type approval works. Here is why, and how to keep a compliant system running without a scramble.

What the system has to achieve
Under the IMO Ballast Water Management Convention, discharged ballast has to meet the D-2 standard - a hard limit on how many viable organisms leave the ship, counted per cubic metre for the larger size class and per millilitre for the smaller, plus limits on indicator microbes like E. coli. Your BWTS was type-approved as a complete system that hits D-2 in a defined configuration. That approval is the thing you are keeping valid every time you run it.
Why the spares are locked to the maker
Type approval certifies a specific build - these UV lamps or these electrodes, this filter element, this flow sensor, this control software version. Swap in a component that was not part of the approved configuration and, strictly, the system is no longer the one that was approved. Class and port state control can treat it as a system that cannot be shown to meet D-2. So the constraint is real: for the parts that sit inside the treatment chain, approved-maker spares are not a preference, they are what keeps the approval intact.
- UV systems: lamps and quartz sleeves are consumables with a running-hours life - and lamp output is part of what the approval was tested against.
- Electrochlorination systems: electrode cells wear and foul; their condition drives the dose.
- Common to both: the filter element, the flow and TRO/UV sensors, and the control software that logs compliance.
Where you do have room
Not every part is approval-critical. Pumps in the ballast line, general valves, pipework, standard fittings around the unit are ordinary marine components - the same butterfly and check valves you would source anywhere, to the usual material certificates. The line to hold is between the treatment chain, where the approval lives, and the balance-of-plant around it, where normal sourcing rules apply. Knowing which side a part sits on is most of the skill.
IMO approval is not USCG approval
If the ship trades to US waters, remember the two approvals are separate. IMO type approval runs under the BWMS Code; the US Coast Guard runs its own type approval with independent-laboratory testing, and the two are not interchangeable. A system and its spares can be fine for IMO and still need the USCG-approved configuration for a US call. Check which approval your trade needs before you treat a spare as equivalent.
What to keep on board
- The maker's recommended consumables to their running-hours interval - lamps, sleeves or electrodes - not one voyage's worth.
- The filter element and the sensors that stop the system dosing if they fail.
- A copy of the type approval certificate and the approved parts list, so anyone can see at a glance which parts are approval-critical.
